Board Meeting 4-10-07

In Attendance – Amanda Crews, Rhett Glover, Emilu Bailes, Don Jernigan, Bobby Mitchell, Ray Runge, Linda Bernard


Meeting called to order 7:34 PM
Motion: Motion by Linda to approve minutes, 2nd Bobby
Vote: Passed unanimously.

OLD BUSINESS

Shriner’s Tournament was cancelled due to inclement weather.
Office has hired a new bookkeeper, Shawana Ducksworth
Deadline for April newsletter is the 16th


Treasurer’s report given by Rosemary Dean- After a correction the total operating cash is $304,450; Reserve funds are $309,362 for a total of available cash after deducing water capital is $445,576. $50,000 withdrawal from checking was transferred from the Water Capital improvements money market account into a CD.

Our auditor has not completed the audit due to his own scheduling conflicts.

Negative numbers in the Golf Department for fuel was an adjustment.


NEW BUSINESS

Water report given by Ray Runge- water tank was drained on Friday.
Motion: Motion by Linda to pay Waller Well Company $5,550.00 for a water test, 2nd Bobby
Vote: Passed unanimously

Interior/Exterior report given by Emilu Bailes- we have received 2 sealed bids on painting the clubhouse. One from DC construction for $16,636.00 including the cost of paint. The other was from Mike Harris in the amount of $4,500.
Tabled until the next meeting

Golf report given by Don Jernigan – Don reported that he, along with the A&E committee & golf staff rode the course scoping out dead trees. Proposal from Nancy that there are 15 trees that need to be taken down. 13 of these trees are endangering either property owners or TC property.
$4650 quote was given to remove dead trees
Motion: Motion by Don to approve up to $3,750 for tree removal, 2nd Linda
Vote: Passed 5/1 (2 abstentions)

A&E report given by Rhett Glover – Rhett & Nancy drove around TC last Monday & found a house located on Night Hawk where a property owner made incursions to the green belt. A letter has been mailed to the property owner, and after an appropriate amount of time, the lawyers will send another letter. TC will actively pursue this matter. Emilu reported that Raymond Rogers the Jasper County Code Enforcer agreed to meet with A&E committee along with the B.O.D. to discuss exactly what code enforcement can do in our community
Gerald Robinson reported that 17 roads have been assigned for the trash pickup to date. Other volunteers are still needed. Please phone him to volunteer to monitor a road, and pick up trash twice a month.

Beach report given by Bobby Mitchell– Porta-potties have been placed.
There will be a volley ball tournament on 4-28-07 to raise money for sand to put on the beaches.
We would like to look into hiring some part time beach staff to help maintain our beach grounds.
Motion: Motion by Bobby to spend $1,500 for beach signs, parking area on Parrott, & sand to be dispersed on beaches, 2nd Ray
Vote: Passed 7/0. 1 abstention

Tennis report given by Rhett Glover- Tennis is growing as the weather warms up.
There is a concern about the condition of the courts. The cracks in the course are getting worse by the day, & the courts will have to be resurfaced soon.

Dues Increase Committee – Gayle Gray reported that our dues increase failed by only a narrow margin. We are going to mail ballots again & hold another special meeting to vote on this issue again. A request for helpers to assist with the mailing was issued.
Motion: Motion by Emilu for a special meeting to be held Thursday May 17th for the purpose of voting on an increase in dues, 2nd Don
Vote: Passed unanimously

Office report given by Emilu Bailes – Emilu welcomed Shawana to our staff.

Community Relations – Emily reported that the 55 & Alive AARP driver safety course is scheduled to be held on 5-14 & 5-15 from 1-5pm

Pool report given by Amanda Crews– Pool will open Memorial Day
Motion: Motion by Amanda to approve $700.00 to replace chlorinator in the pool, 2nd Linda
Vote: Passed unanimously

Restaurant report given by Linda Bernard – New lunch menu coming & we have been working on catering menu. Our grill is down; we have someone coming in to fix it. Trivia night, we will have take-out pizza.

Legal report given by Kathy Abood – No formal report given

Entertainment report given by Kathy Abood – Trivia is last Saturday of each month. Easter party was a great success. Thank you to everyone who donated candy.

Security report given by Arnold Fulgram–Property owners are responding well to using their vehicle decals at the beaches.

Motion: Motion by Emilu approve $38.07 for a new recorder & $29.99 for PDA, 2nd Rhett
Vote: Passed unanimously

Call to Volunteers – Emilu asked for property owners to please volunteer by serving on Committees. Sign up sheets are available at each Board Meeting.

Nominating Committee- Kathy reported that the nomination committee has submitted the following slate of candidates for 2007 B.O.D. election: Don Jernigan, Missy Dunnigan, Ken Rose, Carolyn Patton, & Gail Folkerts.
Meet the candidates forum will be held Sunday May 6th @ 2:30

COMMENTS FROM THE FLOOR

Teri Urbano- Why don’t we charge a per family charge for the restaurant?
Response- We will have a committee take a look at this. This is one thing that we will have a committee take a look at.

Jennifer Christian – She is an art teacher & is interested in doing a summer day camp for children in TC.
Response – She was asked to give us her specs about what will go on & the B.O.D. will take a look at it and get back to her.

Darrell Bell - have we thought about advertising in Rockdale, Henry counties that we have interior lots.
Response- We do ask Realtors to provide links to our website for interested home buyers.
