MINUTES
TURTLE COVE P.O.A. BOARD MEETING – May 8, 2007 Attendees: Rhett Glover, Amanda Crews, Don Jernigan, Emilu Bailes, Linda Bernard, Ray Runge, Kathy Abood Absent: Bobby Mitchell Meeting called to order @ 7:34 Motion: Motion by Linda, 2nd Rhett to approve minutes from 4-10-07 Vote: Passed unanimously Emilu announced that Valorie Mitchell has resigned from her position on the B.O.D OLD BUSINESS *Deadline for newsletter is May 21st. Deadline for June is the 18th *Special Meeting for dues increase is 5-17-07 *Trees were removed as per approved action from 4-10-07. Total cost was $1170.00. Total of 16 trees were cut & dropped. *Nominees to the B.O.D. were interviewed at the Meet the Candidates Forum sponsored by Women’s Club on 5-6-07. Ballots are to be mailed after 5-17-07. *BOD has come to an agreement for someone to maintain the beaches. *BOD has reached an agreement for painting of the Clubhouse. Mike Harris has adjusted his bid $8,500 to accommodate other items that needed repair. NEW BUSINESS Treasurer’s Report given by Rosemary Dean - $8649.88 was written off as bad debt per our auditor’s advice. This does not mean that we forget about the debt. If funds are collected, they will go against the write-off. A coding error in March’s cash summary understated the total cash available. It should have been $445,576.87 In April the operating funds balance was $182,500 and the reserves were $422,733 for a total of $430,517.73 after adjusting for the water capital funds. 2 new CD’s in the amount of $50,000 each, one for our operating account & one for Water reserves. The auditor is back and hopes to finish in May. Income under Admin A&E fee was an old amount we won in the Starfirst suit; this has not yet been collected. The big jump under water is due to meter fees from the Starfirst suit, this has not yet been collected. $35,082 net income for the month Water report given by Linda Bernard – We are still working on well house on Nuthatch, should be online in a month Motion: Motion by Linda to purchase signs for water dept at cost of $200.00, 2nd Ray Vote: Passed unanimously Interior/Exterior – No report given Golf report given by Don Jernigan- Some trees have been removed around the golf course. We have hired 2 new employees one for Duffers Den & one part time to work on course maintenance. Summer hours begin today 8-8 Beaches – No report given Tennis report given by Rhett Glover- Our tennis pro has injured his back, so he has been unable to help out. However, attendance has still been good. We would like to start a children’s class for ages 8-12. We would like to put together a tournament once our pro is back. This will hopefully generate some additional income for tennis. The gates to the tennis courts need new locks. There has been a problem with vandalism. Budget- No report given Office report given by Emilu Bailes- Kim McMichael from McIntosh State Bank has approached TC to see if were interested in their online bill pay program. Jasper County will be conducting an audit on our business personal property reports that we filed for 04-07 Our Workers Compensation Company will be conducting an audit on 5-31-07. This audit will be for 2006 & 2007. A&E report given by Rhett Glover- We currently have several different cases we are working on. We have put stop work orders on several properties that are currently building. One of these cases will be turned over to our attorney. Raymond Rogers came out and met with B.O.D to explain exactly what the county can assist us with when it comes to code violations. He has offered to give a presentation in open meeting. Community Relations - No report given Pool report given by Amanda Crews- Pool opens Memorial Day Motion: Motion by Amanda to approve up to $150.00 for new swim suits & whistles for the lifeguards. 2nd Ray Vote: Passed unanimously Motion: Motion by Amanda to approve $214.00 for new signs at the pool, 2nd Linda Vote: Passed unanimously Restaurant report given by Linda Bernard – We have increased our inventory in lounge. We are currently in process of hiring a new bartender. We are also revamping menu with more diet conscious items. Legal report given by Kathy Abood- We have given our attorneys the go ahead to collect money owed by Starfirst for the water meter fees. Entertainment report given by Kathy Abood– Thank you to Stan Humphries for acting as emcee for the Women’s Club Meet the Candidates forum. Spring Fling by JLHA is 06/09/07. It will be catered by Varsity & will have an Elvis impersonator. Tickets are $10/person, & are on sale in the office. Security report given by Arnold Fulgram – We desperately need the signs for the beaches On Parrott Beach there is a huge need for a designated parking area. Vehicle decals have been working & he will reprimand anyone that does not have one on their vehicle. Call to Volunteers – TC always welcome volunteers please sign up & give your time. Comments from Floor – Ken Rose asked that we move the time of trivia to 7:30 in light of the time change. Motion: Motion by Emilu to move trivia to 7:30, 2nd Amanda Vote: Passed unanimously Gayle Gray was contacted by a property owner & asked that we think about charging a trailer fee for boats since property owners that play golf have to pay a cart fee. Larry Segers is concerned with why the dues increase did not pass the first time if we had the majority vote. Rosemary Dean advised Mr. Segers that we had to have 2/3 vote from the members in good standing per our Covenants. June Board Meeting meeting will be 6-16 -07. This is our annual meeting & we will serve a hot dog lunch. 5 minute recess before exec session Results from Electronic Voting on 5-4-07 Motion: Motion by Don to allow Mike Harris to paint the clubhouse, 2nd Amanda Vote: Passed unanimously |
